JOB SUMMARY

Brokenhead Ojibway Nation (BON) is seeking a highly motivated individual to fill the full-time position of Events Coordinator.  Working under the direction of the Chief Administrative Office (CAO), the Event Coordinator will be responsible for every aspect of an event, from booking venues to evaluating success afterwards.  They are responsible for planning and organizing local community events, Council and staff training events, seminars, exhibits, festivals collaborating with other event planners outside of BON.  They will research options to help decide on catering, event locations, entertainment, photography, and more.  The Event Coordinator must be well-organized and competent in vendor management. They handle the details and coordinate employees and contractors for large events.

The goal is to organize events that stay within budget, utilize local, Indigenous, and reliable resources to ensure participants are well served and manage event planning to meet business and administration objectives.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Exceptional cultural sensitivity in working with First Nations Peoples and Governance
  • Plans and executes all social and cultural events for the community such as Band meetings, Treaty, and social events involving Council or staff
  • Manages the booking of the Private Tom Chief Memorial Hall (PTCMH), along with overseeing the setup and clean up before and after event bookings
  • Search and apply for funding from all sources: industry, government, etc. to carry out the programs and costs for the events
  • Ensure effective and cost-efficient management of events, including the planning and tracking of budgets
  • Conduct pre- and post-event planning meetings with key stakeholders to identify event objectives, promotion, and communications/marketing strategy. Prepares and presents post-event reports
  • Supports the development of events best practices and procedures
  • Liaise with internal departments, BON communications, assistant to chief and council, finance, guest speakers and presenters, graphic designers etc., to ensure all events are within budget and scope
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
  • Manage all event operations (preparing venue, promotion, invitations etc.)
  • Managing ticket sales for large events
  • Book venues and schedule speakers

QUALIFICATIONS AND SKILLS REQUIRED:

  • Politically and culturally sensitive and has an awareness of BON values, culture, and traditions
  • Language skills in Anishinabemowin is an asset
  • Experience in event planning, hospitality, public relations, or relevant field is an asset
  • Proven experience as event coordinator an asset
  • Proficient in MS Office and an understanding of social media and other marketing skills used to send invitations and promote events
  • Ability to work independently and represent the Brokenhead Ojibway Nation with integrity and enthusiasm
  • Excellent vendor management skills
  • Outstanding communication and negotiation ability
  • Well-organized with multi-tasking skills
  • Able to manage stress and remain calm
  • Excellent analytical and problem-solving abilities
  • Excellent customer service skills
  • Exceptional written and verbal communication skills, and strong presentation skills

  • Knowledge of performance monitoring methods for events and the ability to create reports to guide future event coordination improvements
  • Willing to submit a pre-employment drug test
